Snapshot
Snapshot Update – Free Listing Outreach Warmup Email
We’ve made a small but important improvement to the first “Warmup” email in the Free Listing Outreach workflow.
What Changed
Previously, the email included the business’s website URL in the message body. At some point HighLevel started automatically converting URLs to clickable links, which can slightly reduce cold email deliverability and increase the chance of emails landing in spam.
To improve deliverability and increase reply rates, the email has been updated to remove the website field and instead ask the business owner to provide their website if they’d like it included in their listing.
The new P.S. now reads:
P.S. I don’t currently have your website on file. If you’d like it included in your listing, just send it over in your reply and I’ll add it.
This change not only avoids unnecessary links in cold outreach, but also encourages a reply, which improves inbox placement and engagement.
How to Apply This Update
You have two options:
Option 1 — Import the Updated Snapshot
Import the latest snapshot and overwrite the existing “Email Warmup” template.
Option 2 — Update the Template Manually
Make two quick edits to the Email Warmup template:
Remove the line:
Website: {{contact.website}}
Update the P.S. to:
P.S. I don’t currently have your website on file. If you’d like it included in your listing, just send it over in your reply and I’ll add it.
One More Step (Only If Needed)
If your workflow is configured to sync with the email template, you're all set — updating the template automatically updates the workflow.
However,
if your workflow is not set to sync the template automatically
, you’ll need to:- Open the Free Listing Outreachworkflow
- Locate the Email Warmupstep
- Re-select the updated Email Warmuptemplate
- Click Save
- Publish the workflow again
Once done, your outreach will be using the improved version.
How do you know if your template is synced?
- Go to Marketing>Emails>Templates
- Click the 3 dots next to the Email Warmuptemplate
- In the popup, you'll be able to see if the changes are synced to your Free Listing Outreachworkflow or not

This is a small change, but it should improve deliverability and increase the likelihood of business owners replying, helping start more conversations from your outreach.

Automatic Stop: Free Listing Outreach
We added a new step to the New Claim Request workflow:
End Another Workflow → Free Listing Outreach
Now, when a business claims their listing:
- The Free Listing Outreach workflow will automatically stop
- Businesses won’t continue receiving outreach messages after claiming
- Reduces confusion and improves professionalism without manual work from users

Automatic Stop: Premium Upgrade Push
We added a new step to the Listing Upgraded to Premium workflow:
End Another Workflow → Premium Upgrade Push
Now, when a business upgrades to Premium:
